A tool that seems taken from the future has fallen into the hands of the Rovira i Virgili University and is already changing the daily routine of its Economic Resources Service. ValidIA, an assistant based on artificial intelligence, is leaving behind employee fatigue and user uncertainty in validating invoices and resolving inquiries.

But it’s not just another application: this solution received the Xavier López Vilar award for improving administrative management, supported by the Tarragona Provincial Council. And what it promises is clear: fewer calls, fewer errors, and more autonomy for everyone.

The URV Social Council grants this award to promote quality and continuous improvement in administrative and technical management within the university.

The recent edition distinguished an innovative project developing an automated assistant to validate invoices and resolve regulatory inquiries, a task that previously overloaded the Economic Resources Service.

Who is behind ValidIA?

The team formed by Albert Fabregat Membrado, Daniel González Sánchez, and Pablo Hormigos Moreno has led the creation of this tool from the Management Technical Office and the Economic Resources Service.

This team responds to hundreds of monthly inquiries from decentralized units, especially on complex fiscal issues such as VAT, IRPF withholdings, and economic classification.

How does ValidIA work and what does it offer?

Automatic validation with a touch of artificial intelligence

ValidIA uses a multi-agent architecture with RAG (Retrieval-Augmented Generation) technology, which combines generative artificial intelligence with official and traceable sources.

This means it not only responds quickly but that its answers are reliable, based on real data from VIES, ECB, BOE, or NIFs. Without hallucinations or invented information, a common problem in other models.

Reducing workload and avoiding human errors

Before, each inquiry was a brake on the process and a risk of error that could force going back. Staff invested a lot of time verifying data and clarifying doubts.

With ValidIA, decentralized users can perform these tasks autonomously, unloading work from the Economic Resources Service and eliminating dependence on phone support.
